AI integration where it earns its place

AI features are easy to add; the benefit is hard. The difference is not the model — it is where you put the feature. Our position is plain: AI only where it earns its place. This post describes how we judge which processes qualify, and which tasks are better left ordinary.

Three signs a process is a fit

Before touching any process with AI, we look for:

  • Volume that wears people out. Reading, classifying, moving data between documents — tasks where humans make mistakes from fatigue, not ignorance.
  • Flexible input, strict output. The documents and requests that reach you arrive shaped differently every time, yet the answer must be structured: a field, a value, a decision. That is exactly where language understanding pays.
  • A human stays in the loop. A checkable result a person reviews — not a black box that decides on its own.

Where it usually does NOT belong

Judgment, accountability, the client relationship. Automating a risky decision without a human at the final step saves minutes and costs incidents. And code that does not need a language model: using an LLM where 20 lines of deterministic code suffice is an expensive way to write non-deterministic software.

Agents: what they mean in practice

"AI agents" sounds futuristic; in practice it means small, bounded automations: read a document, extract the fields, validate, prepare a draft; write to the system and open a task for a human. Tools with clear permissions — not something that "acts on its own". The work we do here is deliberately ordinary: workflow and document automation, on-device and edge inference where data must not leave your building.

Privacy-first is not a slogan

When a model touches client data, the question "where does the data go?" is an engineering question, not a legal formality. Our approach starts European and privacy-first: minimum data, local inference where possible, a clear route for every record.

Where to start

Not with "an AI strategy". Pick one process that already hurts, describe it to us via the project form, and we will tell you whether AI earns its place there — including when the answer is no. More about our approach on the services page, and about the product the whole studio runs on — on TimerOS.
